Role Summary:
The Vendor Specialist for Marketing, Events, OOH, and other related services is responsible for managing the end-to-end vendor lifecycle from sourcing and accreditation to negotiation, contracting, and performance monitoring. This role ensures that all vendor engagements comply with company policies, contractual requirements, and ethical procurement standards. The Vendor Specialist also plays a key role in supporting the marketing team by securing reliable, competitive, and compliant vendor partnerships that contribute to achieving strategic objectives.
Key Responsibilities:
Vendor Accreditation, Sourcing and Evaluation
- Identify and source potential vendors for marketing, branding, OOH, and other related services to broaden and strengthen the company’s supplier base.
- Facilitate vendor pre-accreditation for branding, marketing, OOH, and other related services.
- Conduct due diligence, including compliance checks, license verification, and related-party declarations.
- Maintain an updated list of accredited vendors.
Procurement and Contract Management
- Manage the procurement process for marketing, OOH, and other related services, including canvassing and bid evaluations.
- Lead commercial contract reviews to ensure financial and business terms are accurate, fair, and aligned with company policies.
- Conduct thorough contract reviews to confirm that financial and business terms are accurate, fair, and enforceable.
- Verify compliance with pricing structures, payment terms, discount schemes, penalty clauses, and escalation provisions for marketing, OOH, and other related services.
- Ensure contract terms for marketing, OOH, and other related services address intellectual property rights, advertising placements, exclusivity arrangements, and termination conditions.
- Coordinate with Legal and Compliance teams for risk assessments, legal sufficiency, and regulatory compliance.
- Maintain a centralized contract repository for tracking expiration dates, renewal timelines, and performance obligations.
Vendor Relationship Management
- Serve as the primary liaison between the company and marketing/OOH vendors.
- Handle vendor queries, resolve issues, and ensure timely escalation of concerns.
- Promote fair, transparent, and ethical dealings in all vendor interactions.
Financial and Performance Monitoring
- Ensure vendor invoices are accurate and supported by proper documentation (GRN, proof of service, etc.).
- Monitor vendor performance against contract deliverables, KPIs, and timelines.
- Conduct periodic performance reviews and recommend re-accreditation or disqualification as necessary.
Compliance and Reporting
- Ensure all vendor transactions comply with anti-bribery, anti-corruption, and no-gift policies.
- Maintain records of vendor engagements, contracts, and performance reports.
- Provide regular updates to Procurement and Management on vendor performance, risks, and opportunities for improvement.
Qualifications:
- Bachelor’s degree in Business Administration, Marketing, Supply Chain, or related field.
- At least 2–3 years of experience in procurement, vendor management, or contract administration, preferably in marketing or media.
- Strong knowledge of procurement policies, contract management, and compliance standards.
- Excellent negotiation, communication, and relationship management skills.
- High ethical standards, integrity, and attention to detail.
